What You Will Do...

  • Purchasing: Serve as primary purchaser for all office, production support and safety supplies for Fort Wayne. Responsible for maintaining continuity of office supplies, production support supplies, office condiments and safety supplies. Manage and update Certificate of Liability Insurance for all vendors providing services for the Ft. Wayne location. Analyze vendor invoices and evaluate them with all quantity received. Reconciliation and documentation of credit card orders.
  • Communication – Provide companywide communication as necessary. Maintain communication boards, and email as necessary.
  • Office Administration: Serve as primary local administrative support to the Fort Wayne facility. Assist FW Management with various projects as needed. Coordinate and maintain attendance records for salary employees.  Primary person for greeting customers, answering zero out calls, process outgoing mail daily. Coordinate all meeting planning for FW operations, using internal and external resources as necessary (includes meal coordination and meeting room set-up).  Handle vehicle registration and plates for all company vehicles.  Maintain Company property removal forms. Backup safety manager in ordering safety supplies for vending machine and maintaining database. Coordinate office moves when needed.  Ordering of all business cards. Coordinate Employee Appreciation days. Maintain office name board adding and removing employees as needed. Manage Ft. Wayne Komet and Tincap game ticket distribution.
  • HR/Training: Maintain training records to comply with ISO requirements, including entry of Matrix forms, and coordinate all Educational Reimbursement requests. Back up HR Manager with administration of benefit plans, interviewing, background checks, and new employee and safety orientations. Assist in job verification calls. Assist with team building functions/training. Coordinate yearly eye exams for MediTECH.
  • Travel: Work with designated travel vendors to coordinate Domestic and International air travel, hotel accommodations and automobile rentals for Fort Wayne travelers. Process necessary paperwork for passports and Visas.
  • Safety: Work with Safety manager creating catalogs, brochures, and safety activities for the office. Support all safety activities. Tracking of all safety shoes and safety glasses purchases as well as maintaining voucher status with vendors.
  • Wellness Committee: Member of the Wellness team and back up chairperson. Promote events throughout the year. Participate and schedule special events at the yearly Wellness fair.

What You Will Have...

  • 3-5 yrs. Administrative professional or related experience
  • Strong Computer skills; Proficient in MS Office (Excel, Word, Access, PowerPoint)
